Purpose of the Role
The Executive Assistant provides high-level administrative and strategic support to the Chief Executive Officer. The role requires exceptional organisational capability, business acumen, and sound judgment to manage complex priorities, confidential matters, and executive communications. The incumbent will act as a key liaison between the CEO, the Executive Committee, the Board, and external stakeholders, ensuring seamless coordination across strategic and operational matters.

Key Responsibilities

  • Provide comprehensive executive support to the CEO, including calendar management, correspondence, travel coordination, and preparation of meeting materials.

  • Anticipate the needs of the CEO by proactively managing priorities, deadlines, and follow-ups on key actions and deliverables.

  • Prepare and review high-level reports, board packs, presentations, and briefing documents with accuracy and attention to detail.

  • Coordinate board and committee meetings, including collation of documentation, logistics, minute-taking, and tracking of action items.

  • Maintain strict confidentiality and handle sensitive information with discretion and professionalism.

  • Serve as a liaison between the CEO and internal or external stakeholders, ensuring timely and effective communication.

  • Support governance and compliance processes by maintaining accurate corporate records and ensuring submission of key documentation to relevant committees and regulatory bodies.

  • Manage multiple executives’ schedules and administrative needs as required, ensuring cross-functional alignment across the leadership team.

  • Oversee complex travel arrangements, itineraries, and expense reconciliations, ensuring efficiency and adherence to company policies.

  • Drive special projects or strategic initiatives as directed by the CEO, including research, analysis, and preparation of executive summaries.

  • Provide leadership and coordination support for corporate events, executive offsites, and strategic sessions.

Qualifications and Experience

  • A relevant qualification in Business Administration, Office Management, or equivalent.

  • Minimum 8–10 years of experience as an Executive Assistant, including experience supporting C-suite executives within a large, complex, or corporate environment.

  • Demonstrated experience preparing board and executive reports, managing governance processes, and supporting multiple senior leaders concurrently.

  • Strong understanding of corporate communication, stakeholder management, and executive-level protocol.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Teams, Zoom).

  • Exceptional written and verbal communication skills, with a high level of professionalism and composure.

  • Proven ability to manage multiple priorities under pressure, with exceptional attention to detail and follow-through.
